In June 2023, a new retention policy that affects stored course content is coming to Panopto. The new policy is a result of a change in the university’s license agreement and allows faculty to continue accessing older content that may be stored on the service.    

What happens when the policy goes into effect?  

When the policy goes into effect, videos stored on Panopto will be archived if they’re not viewed after 13 months. Afterward, if a community member with previous access attempts to view an archived video, it will be restored 48 hours (about 2 days) after the attempt to access.  

What will happen to videos currently stored in Panopto?  

If an instructors or student has videos on Panopto that need to be accessed for an upcoming course or assignment, they will need to be sure that they’re not archived at least 48 hours before they’re needed. When a video is archived, the permissions, location of the videos, and data are kept intact. No notifications are sent when a video is archived in Panopto. Instructors and students are encouraged to review archived content they own to determine if content should be restored, updated, or deleted. Currently, no auto-delete policy exists, but video creators are encouraged to delete any unneeded or used content in Panopto.

How can I unarchive a Panopto video? 

Panopto videos that haven’t been viewed after 13 months are automatically archived. Anyone that has been added as a viewer or creator to the video can restore the video from the archive.
